This is a one-year contract role (maternity cover) based in Malaga.
Main responsibilities include but are not limited to:
• Gatekeeper, Front Office Management
• Provide single point of contact regarding all reception and office matters and action all queries
• Meet and greet visitors; sign-in procedure
• Answer incoming telephone calls in a timely manner
• Allocate building access fob/key/pass and ensure its return
• Assist with New Starter first day requirements
• Distribute and manage incoming and outgoing mail for business and employee’s private capacity, including arranging courier requests
• Know and be able to act on Dawn Raid Guidelines
• Maintain Welcome Visitor’s Guide
• Provide backup corporate travel support and act as a member of the Travel Team
• Assist local management in all necessary paperwork following local rules and regulations
• Complete monthly expense reports for management team in the Concur Travel & Expense platform.

Finance, HR, Real Estate and IT Support:
• Facilitate Finance Procedure; examples: scanning invoices, attending to supplier queries, check for irregularities
• Working knowledge of all Finance and IT processes and roles
• Facilitate Helpdesk queries – raise Jira for phone problems, voicemail resets, IT issues
• Assist with coordination of facilities for all new starters including desk allocation, PC/laptop, phones, email accounts and office access
• Assist area manager, senior account managers and Real Estate Team in case of the opening of seasonal offices, refurbishments or office moves
• Network and establish relations with colleagues and other departments.
Day to Day – Smooth Running of Office(s):
• Manage dedicated Reception Inbox
• Establish / maintain office filing systems
• Order office supplies and consumables and manage stock control
• Internal distribution of company promotional items and printing materials, business cards
• Arrange ad-hoc lunches when required; examples: working lunches, external meetings
• Provide ad-hoc admin support such as scanning, laminating, printing and binding
• Walk the floor and inspect for handyman works, printer stations are up to date, general housekeeping standards are in place, furniture and machines are in working order; time management
• Manage office cleaners to ensure canteen and tea points are kept tidy and fully stocked
• Ensure meeting rooms are set-up and ready for use; examples: VC, flipcharts, projector, bins, stationery
• Support H&S process to ensure compliance to local regulations is maintained
Supporting Office Team and Remote Locations:
• Support OM / team in supporting other remote locations
• Manage day to day requests from remote locations / team and to ensure compliance of facility agreement is upheld
Travel Office:
• Assist with travel requests, ex: car hire request; train booking; hotel booking; airline booking
• Working knowledge of travel policy and expense policy guidelines
Event Support:
• Facilitate global celebrations; examples: Friends and Family day, Summer party, ad-hoc record celebrations;
• Freaky Friday communications to office and arrangements;
• In-house Hotel Workshops /breakfast meetings/ team meetings.
Qualifications / Required Skills and Profile:
• Proficient in both English and Spanish language to liaise with vendors

Required Experience
• Education in Administration, Organisation and Hospitality;
• Up to two years of relevant work experience;

As an Account Executive your main task will be to provide support to new and existing accommodation partners, contacting, informing and advising them about how to meet the demands of the visitors on the Booking website. You will also build the accommodations webpages and training the new accommodations on how to use Booking’s extranet and how to use the systems that can improve their availability and supply. Furthermore you will offer support to the Account Managers with various tasks at the office.
This is a full time position based in our Málaga office.
• Day-to-day pro-active communication with partners in your region by telephone, by internal messaging and occasionally in person to assist with the development of the business;
• Building productive relationships with partners to ensure that they offer the best availability and rate structure;
• Discuss opportunities with partners that will help improve business by using Booking BV’s internal tool of priority setting;
• First point of contact for key local accommodation partners, answering questions and queries, taking action as needed;
• Participation in weekly team learning in your office;
• Advise accommodation partners regarding their (potential)webpages on the Booking website and how they can amend data with respect to supply, availability, specials, promotions;
• Liaison person for properties to contact when they have questions by phone and the Account Managers are unavailable;
• Providing support to properties or Booking BV in building the webpage for accommodations and/or maintaining property information on the Booking website;
• Verify that the website has accurate information on properties and pictures of newly registered accommodations;
• Delivering training by phone to new and or existing properties on how to use Booking s extranet and rates & availability system;
• Providing properties with information and advice mainly by phone, including follow-ups;
• Looking after IT/administrative related tasks;
• In consultation with the Account Managers, provide information support to Booking BV for new and existing accommodations;
• Conduct daily/weekly rate and availability checks on various platforms;
• Assist in the preparation of market visits, operational planning and projects;
• Assisting in additional tasks and projects when needed
• You will also need to be versatile, flexible and adapt quickly to the latest guidelines/changes from Booking BV.
• Great face-to-face and telephone communication skills;
• Fluent English and Spanish speaker and writer;
• Affinity/experience within e-travel and/or hotel/travel industry is a plus;
• Pro-active, sense of responsibility and can work independently;
